1. About this Policy

Potato Intel LLP (“Potato Intel”, “we”, “us” or “our”) provides agricultural intelligence, agronomy advisory and decision-support services through its website, mobile and web applications, agronomy teams, field operations, AI-enabled systems, satellite and remote-sensing tools, communication channels, traceability systems and enterprise or contract-farming programs. This Privacy Policy explains how we collect, use, store, share, secure and otherwise process personal data.

This Policy applies to farmers, agronomists, enterprise and institutional users, website/app users and other individuals who interact with Potato Intel. Additional employment, consultant, enterprise, program or data-sharing agreements may apply without replacing this Policy.

• Directly from the individual.
• Through an authorised Potato Intel agronomist during assisted onboarding, scouting or field service.
• From an enterprise, FPO, processor or other program organisation where permitted and transparently disclosed.
• From laboratories, weather, satellite, mapping, sensor and other providers used for the enrolled service.
• Automatically through website, app, authentication, analytics and security systems.
• From records generated when Potato Intel provides recommendations, traceability, reporting, support or enterprise services.

4. Purposes of Processing

• Create, authenticate and administer accounts and user roles.
• Create and maintain farmer, crop, field, agronomist and enterprise-program profiles.
• Provide scouting, agronomy, irrigation, fertigation, soil/nutrition and crop-protection decision support.
• Provide weather, satellite/remote-sensing, crop-risk, yield/quality and traceability intelligence.
• Generate and deliver recommendations, reports, alerts, tickets and farmer support.
• Operate enterprise/contract-farming programs, dashboards, traceability and agreed reporting.
• Manage agronomist assignments, quality assurance, training, accountability and service delivery.
• Secure the platform, prevent misuse, troubleshoot, audit access and maintain service continuity.
• Comply with applicable legal, regulatory, tax, accounting and contractual requirements.
• Improve agronomic methods, product quality and models using appropriately governed data, preferring de-identified or aggregated data for secondary analytics and model improvement.
• Send promotional communications only where legally permitted and, where required, separately consented to.

5. Assisted Farmer Onboarding

Potato Intel may register farmers through authorised agronomists rather than self-registration. The agronomist explains the approved onboarding privacy notice, records the farmer’s authorisation to create the account and enters information reasonably necessary to initiate the requested service. Login credentials are then provided to the farmer. At first authenticated login, the farmer is shown the applicable Privacy Policy, Terms and Consent/Acknowledgement before normal dashboard access. The agronomist must not accept the farmer’s first-login digital choice on the farmer’s behalf.

6. Consent and Other Permitted Processing

Where consent is the applicable legal basis, Potato Intel will seek a free, specific, informed, unconditional and unambiguous affirmative choice for specified purposes and only for personal data necessary for those purposes. Optional marketing and materially separate secondary purposes should be kept separate from core-service acceptance. Where applicable law permits processing on another legal ground, Potato Intel may rely on that ground only to the extent legally available.

Users may withdraw consent through the available privacy/grievance mechanism. Withdrawal does not invalidate processing lawfully undertaken before withdrawal. Where the relevant data is necessary for a requested service, withdrawal may result in restriction or discontinuation of that service.

7. AI and Automated Decision-Support

Potato Intel may use artificial intelligence, retrieval-augmented generation, computer vision, statistical models and automated analytics to assist agronomists and generate insights. Inputs may include crop/farm records, questions, images, field observations, soil data, weather and satellite-derived information. AI outputs may be incomplete or inaccurate and are decision-support, not guaranteed diagnoses or outcomes.

Potato Intel will seek to minimise unnecessary disclosure of identifiable data to external AI providers and use appropriate contractual, configuration and security safeguards. Identifiable user data should not be intentionally used for unrelated general-purpose model training unless separately authorised and legally permitted.

8. Enterprise / Contract-Farming Programs

Where a farmer participates in an identified enterprise, processor, FPO, seed-company or contract-farming program, Potato Intel may share only program data reasonably necessary for the purposes stated in the program-specific notice and relevant contract. Enterprise sponsorship does not by itself grant unrestricted access to a farmer’s entire Potato Intel profile, private support conversations or unrelated historical data.

9. Agronomist and Enterprise Access

Agronomists and enterprise users receive access only for authorised professional or program purposes and may be subject to additional confidentiality, acceptable-use, data-responsibility and contractual obligations. Access should be role-based and least-privilege. Potato Intel may maintain audit logs of access, edits, recommendations, downloads, exports and administrative activity for security, quality, accountability and compliance.

10. Sharing and Service Providers

Potato Intel does not sell personal data merely as a business commodity.

• Authorised Potato Intel personnel and agronomists on a need-to-know basis.
• Cloud/database, communications, mapping, satellite, weather, analytics, AI, laboratory, payment and security providers under appropriate arrangements.
• An identified enterprise/FPO/processor for authorised program purposes.
• Professional advisers, auditors and insurers subject to confidentiality.
• Government, judicial, regulatory or law-enforcement authorities where legally required or permitted.
• A successor or restructured entity in a legitimate corporate transaction, subject to applicable safeguards.

11. Cross-Border Processing

Technology providers may process data outside India. Potato Intel will manage such processing in accordance with applicable Indian restrictions and appropriate contractual and security safeguards. Before intentionally offering services in another jurisdiction, Potato Intel will assess applicable local privacy, consumer, employment and data-transfer requirements.

12. Retention

Potato Intel retains personal data only for as long as reasonably necessary for the relevant purpose, active service/program, legal/accounting obligations, dispute management, security/audit needs and its approved retention schedule. When continued retention is no longer justified, data will be deleted, anonymised, de-identified or otherwise handled as required by applicable law.

13. Security

Potato Intel uses reasonable technical and organisational safeguards appropriate to risk, including role-based access, least privilege, authentication controls, secure transmission and storage measures, logging and monitoring, backups, vendor controls, vulnerability management, incident response and confidentiality obligations. No electronic system can guarantee absolute security.

14. Personal Data Breaches

Potato Intel maintains procedures to detect, contain, investigate, remediate and document personal-data incidents and will make notifications to affected individuals and competent authorities where and when required by applicable law.

15. Individual Rights and Choices

Potato Intel may take reasonable steps to verify the identity and authority of a requester before acting. Requests can be sent to info@potatointel.com or through an available in-app privacy/grievance mechanism.

• Request information regarding processing of personal data, where legally available.
• Request correction, completion or updating of inaccurate or incomplete information.
• Request erasure where legally applicable.
• Withdraw consent where processing is based on consent.
• Raise a grievance with Potato Intel.
• Exercise nomination and other rights where legally available.

16. Children

Standard farmer, agronomist and enterprise accounts are intended for adults. If Potato Intel knowingly offers a service involving a child where child-specific requirements apply, it will implement required parental/lawful-guardian verification, consent and safeguards before processing.

17. Cookies and Analytics

The website and applications may use essential cookies, local storage or similar technologies for authentication, security and functionality, and analytics technologies for performance and service improvement. Non-essential tracking will be managed according to applicable consent requirements.

18. Communications and Marketing

Essential account, security, transaction, active-service and crop-advisory communications may be sent where legally permitted. Promotional communications are distinct from essential service messages. Users may withdraw or update marketing preferences without losing core Potato Intel services, except where a communication is necessary to provide the active service.

19. Third-Party Links and Services

Potato Intel services may contain links or integrations with third-party services. Potato Intel is not responsible for independent privacy practices of third parties acting outside Potato Intel’s control; users should review the relevant third-party notices where applicable.

20. Changes to this Policy

Potato Intel may update this Policy to reflect changes in services, technology, operations or law. Material changes will be communicated appropriately. Where a new purpose requires fresh consent under applicable law, Potato Intel will obtain it rather than relying solely on a silent policy update.
